Scope of Work: AI Chat Assistant The goal of this service is to let your visitors find what they need instantly by asking, in plain language, instead of digging through menus, tabs and FAQ pages. We build, train and run a conversational AI assistant on your website that answers questions the moment they are asked, in the visitor's own words and their own language.

The engagement has two parts: a one-off build that gets the assistant live, and a monthly retainer that keeps it accurate, improving and managed.

Part 1: One-off setup and launch A fixed-scope project to design, build, train and deploy the assistant on your site.

1. Discovery and content audit.

We review your website, documents and help center, agree the use cases that matter most (support, pre-sales, lead capture), and map the questions visitors actually ask.

2. Knowledge training.

We train the assistant exclusively on your content so every answer is accurate and on-brand. It answers from what you actually know, cites the source it used, and says so when it does not know, rather than inventing.

3. Conversational experience design.

We set up the chat to feel like messaging a person: greeting, tone, quick-reply starters, contextual follow-up suggestions, and an "ask, do not browse" flow. Multilingual answering is configured so it replies in the visitor's language.

4. Golden answers.

We pin approved, word-for-word responses to your most important questions, such as pricing, policies and key offers, so the critical answers are always exactly right.

5. On-brand widget.

We style the widget to match your brand (logo, colors, position, avatar, light and dark) and configure the on-page experience for desktop and mobile.

6. Integrations. -- on Demand, not included in pricing

We connect the assistant to the tools you use. In scope for this build: lead delivery to email and Slack, your CRM, and a booking tool (Cal.com or Calendly).

7. Lead capture and routing.

We configure natural, in-conversation capture of name, email and phone, and route every new lead to your chosen destination so a question becomes an opportunity.

8. Human handoff and alerts.

We set up a clear path to a real person and keyword alerts (for example refund, cancel, complaint) so sensitive chats are flagged to your team.

9. Testing and quality control.

We run the assistant against a set of real questions, check the answers, and set up automated answer tests so quality holds as content changes.

10. Privacy and security setup.

GDPR handling configured: right-to-erasure by email, data retention rules, encrypted credentials and a domain-locked widget. Your content and data remain yours.

11. Deployment.

We install the assistant on your site with a single line of code and confirm it is live and working across key pages.

Handover. A short training session for your team and a simple guide covering how to use the assistant, read the information and request changes.

Indicative timeline: typically 1 to 2 weeks from receiving content access to go-live, depending on the size of your site and feedback turnaround.

Client responsibilities: provide content where needed, a brand reference, the integration accounts to connect, and timely approval of golden answers before launch.

Not included in the one-off: custom design work outside the widget, and any ongoing changes after launch (these are covered by the monthly retainer below).

A managed service that keeps the assistant accurate, improving and online. This is not a tool we hand over and walk away from.

1. Hosting and running the assistant.

We keep it live, monitored and online. Knowledge kept current. Scheduled re-syncs so the assistant reflects changes to your website and documents, with re-training when you add or update content.

2. Ongoing optimization.

We review real conversations, tune answers, and convert recurring unanswered questions into new golden answers. Optimization cadence: reviewed every two weeks.

3. Quality monitoring.

We watch answer quality and flagged answers, and re-run answer tests after content changes so nothing silently breaks.

4. Lead and alert oversight.

We make sure leads keep flowing to the right place and that handoff and keyword alerts keep working.

5. Insights.

A clear insights tab (top questions, conversations, leads captured, gaps worth filling next)

6. Included usage.

Covers up to an agreed volume of conversations per month. If you consistently exceed it, we will flag it early and agree the next tier rather than billing surprises.

7. Support and response.

A direct channel for issues and change requests, with a defined response time. Small content and answer tweaks are included; larger changes (new integrations, redesigns) are quoted as add-ons.

8. Privacy and compliance upkeep.

We keep retention, erasure and security settings in good order as your needs change.

What the retainer does not cover: brand-new integrations, full redesigns, or rebuilding the assistant for a new platform. These are scoped and quoted separately when you need them.
